Privacy Policy for Job Applicants
Dwellop AS is the data controller for the personal data we process in connection with your application for employment with us. This privacy policy explains what personal data we process, why we process it, where it is processed and stored, how long it is retained, and your rights in relation to the processing.
Personal Data We Process and the Purpose of Processing
As part of the recruitment process, we process personal data provided by you and, where relevant and necessary for the recruitment, information obtained from other sources.
This may include your name and contact details, residential address, age/date of birth where relevant, and information contained in your application, CV, diplomas, certificates and other documentation you provide. We may also process information from interviews, references and our own assessments of your qualifications and suitability.
The purpose is to conduct and administer the recruitment process, communicate with candidates, assess qualifications and suitability, and select a candidate for the relevant position.
Legal Basis for Processing Your Personal Data
Where processing is necessary to take steps at your request prior to entering into a possible employment contract, the legal basis is Article 6(1)(b) of the EU General Data Protection Regulation (GDPR).
If we wish to retain your personal data after the relevant recruitment process has ended in order to consider you for future positions, we will normally obtain separate consent where consent is the appropriate legal basis. You may withdraw your consent at any time.
We do not ask applicants to provide special categories of personal data, such as health information, information about religious beliefs or trade union membership. If such information is nevertheless processed, we will only do so where a valid legal basis under Article 9 of the GDPR applies.
Sharing and Processing by Service Providers
Dwellop uses data processors to process personal data on our behalf. We have, among other arrangements, a data processing agreement with Upheads in connection with the operation and administration of our IT systems.
Dwellop uses FINN’s applicant handling service as part of our recruitment process. For the FINN applicant handling service, Dwellop is the data controller and FINN AS is the data processor. The processing is governed by a data processing agreement between Dwellop and FINN.
Access to applicant information is limited to HR and relevant managers/recruiting personnel who have a business need to access the information. References may be contacted where relevant as part of the recruitment process.
Where We Process and Store Your Data
Applications and CVs are processed through FINN’s applicant handling service. Dwellop also uses Highstage in connection with certain applicant information.
For applicants who have received an offer of employment but declined the offer, the applicant’s name and document profile may remain registered in Highstage. This is because Highstage currently does not provide functionality for the individual deletion of these records. Dwellop will not use this information for new purposes after the relevant recruitment process has ended.
Personal data is processed and stored in accordance with our agreements with our service providers. Personal data processed through FINN’s applicant handling service is stored on servers in Norway, according to FINN’s information about the service.
How Long Do We Retain Your Personal Data?
We do not retain personal data for longer than is necessary for the purposes for which it was collected.
Applications and CVs processed through FINN’s applicant handling service are automatically deleted by FINN 12 months after the application was submitted. Dwellop’s recruitment processes normally take approximately 4–6 months, and this deletion period will therefore normally cover the recruitment process and a limited period after the process has ended.
For applicants who have received an offer of employment but declined the offer, the applicant’s name and document profile may remain in Highstage because these records cannot currently be deleted individually. Dwellop will assess the possibility of deletion if the system functionality changes, if the system is upgraded, or if an alternative solution is introduced.
If we wish to retain applicant information for future recruitment beyond the ordinary retention period, we will inform you about this and obtain consent where consent is the appropriate legal basis.
Your Rights as a Job Applicant
You have several rights under data protection legislation. The rights that apply in a particular situation may depend on the legal basis for the processing and whether the conditions for exercising the relevant right are met.
If you wish to exercise your rights or have questions about how we process your personal data, please contact HR. We will respond without undue delay and normally within one month. In certain circumstances, the deadline may be extended in accordance with the GDPR.
